Privacy policy

How EV·Surveys Ltd handles personal data. Survey evidence is yours and stays yours; this policy covers the limited personal data we process to run the service and the website.

01 · WHO WE ARE

Who we are

EV·Surveys Ltd is the data controller for personal data described in this policy. We are a company registered in England and Wales. For the survey evidence captured by installers using our app, the installer's firm is the controller and EV·Surveys acts as a processor on their behalf.

Where this policy and a signed data processing agreement with your firm differ, the agreement governs the evidence you capture.

02 · WHAT WE COLLECT

What we collect

We keep collection to what the service needs.

ACCOUNT
Name, work email, company, and the role you select. Used to create and run your account.
DEMO REQUEST
The details you submit on the contact form: name, company, email, team size, and any message.
SITE CONTACT
A point of contact entered during a survey (name, email, phone). Processed for your firm as part of a survey record.
TECHNICAL
Device type, app version and basic diagnostics needed to keep capture and signing reliable. We do not run third-party advertising trackers.

03 · SURVEY EVIDENCE

Survey evidence

Photos, video, measurements and the hash ledger captured in a survey are your firm's data. Capture, hashing and signing happen on the device. Originals are immutable: there is no edit path, by design.

Evidence may incidentally include personal data (a face in a car park, a name on a board). We process it only to provide the service to your firm, never for our own purposes, and never to train models.

04 · LAWFUL BASIS

Why and on what basis

  • INTERESTTo keep the service secure and reliable, and to respond to a demo request you send us.
  • LEGALTo meet our own legal, tax and accounting obligations.

05 · SHARING

Sharing and processors

We do not sell personal data. We share it only with vetted processors who help us run the service (hosting, error monitoring, email delivery, payment), each under a contract that limits them to our instructions. Where a processor is outside the UK, we rely on adequacy regulations or standard contractual clauses.

An exported evidence pack is shared by you, with whomever you send it to. It carries no EV·Surveys account access; it verifies on its own.

06 · RETENTION

Retention

Account data is kept while your account is active and for up to 12 months after closure, unless a longer period is required for legal or accounting reasons. Demo requests are kept for up to 24 months. Survey evidence is retained per your firm's settings and data processing agreement; we delete or return it on instruction.

07 · YOUR RIGHTS

Under UK GDPR you can ask us to act on the following. We respond within one month.

Restrict or object to processing

Port your data elsewhere

Withdraw consent at any time

If the evidence is held for your firm, we will pass your request to them as the controller.
